Main goal
Join UEFA’s Travel, Accommodation & Conferences Unit and play a key role in delivering world-class international meetings and conferences. As a Meetings & Conferences Coordinator, you will be responsible for planning, coordinating, and executing all logistical aspects to ensure seamless and professional event experiences for UEFA’s Divisions across Europe.
Key responsibilities
Accommodation and facilities
Collaborating with internal stakeholders to assess and fulfill logistical requirements for various international meetings and conferences organised by UEFA
Coordinating the reservation of accommodation and meeting facilities, technical equipment, catering and transport
Event delivery (on-site)
Attending meetings and conferences on-site as needed to oversee logistics and help ensure smooth and efficient event delivery
Partner and supplier relations
Building and maintaining professional relationships with UEFA partners and suppliers (hotels, restaurants, transport providers and other vendors) to ensure high service standards and cost-effective solutions
Leading negotiations to establish clear, cost-effective, and high-quality service agreements that align with UEFA’s standards and event objectives
Monitoring supplier performance and ensure consistent delivery of services, proactively addressing any issues to maintain excellence and reliability
Database management and reporting
Establishing and maintaining the hotel team’s database and statistics, ensuring that the information is accurate and up to date to support informed decision-making
Budget Management
Preparing and managing event budgets
Tracking expenses and ensuring cost-efficiency without compromising quality
Strategic Planning & Innovation
Contributing to the continuous improvement of event planning processes and tools
Proposing innovative solutions to enhance participant experience and operational efficiency
Requirements
Experience
Minimum 4 years’ experience in coordinating international events, conferences, or large-scale meetings
Languages
English / Advanced
Knowledge of any European languages would be an asset
Other
Proficiency in MS Office and event management tools
Good understanding of the event, hotel and travel industry
Strong organisational and multitasking abilities
Strong project management skills, including planning, execution, and evaluation
Excellent interpersonal and communication skills
High attention to detail and accuracy
Ability to work independently and as part of a team
Service-minded and solution-oriented
Willingness to travel (20%), this role requires flexibility with working hours
