Missions

 

 

This pivotal role would sit at the heart of the department and heavily support the competition team in the pre – events set up and coordination ultimately for the successful delivery of all our World Athletics Series (WAS) events and one day tours.

 

 

· Primarily responsible for management of all competition data (global calendar, stadium attendance, delegate appointments, evaluations, broadcasting, etc.) in and around one-day meetings circuits including – but not limited – to maintaining contact with organisers, updating regulations and enforcing World Athletics policies.

· Responsible for the coordination and implementation of various projects within the units in the competition department and cross departmental.

· Support the line manager in identifying the gaps in all of deliverables.

· Create and refine processes across all our WAS events and departments.

· Support the Director of C&E in various tasks required for the overall functioning of the Department i.e. presentations, proposals, reporting, etc.

· Manage all aspects for Competition Commission.

 

 

The Competition Office Coordinator ensures that every initiative reflects World Athletics’ values: respect, integrity, leadership, commitment, innovation, excellence, and the advancement of athletics globally.

 

 

 

Mains missions:

 

 

Competition

 

• Collate all relevant data pertaining to 1 day meets and WAS events in view of understanding trends and improving services.

• Support preseason and post season work relating to 1 day meets. Onboarding, calendar set up, contracts,

• Active participant in the 1 day meets evaluation programme e.g. spot checks, audits

• Support the line manager with the evaluation reporting framework; ensuring it is improved continuously and amended as necessary.

 

 

Pre-Event Preparation & Logistics

 

• Stakeholder Management/ Document Preparation: manage all things related to dedicated stakeholder groups. Prepare and disseminate all presentations, necessary materials as required

• Guest lists/ hotel bookings: Support with accreditations, accommodation bookings etc. for WAS events for various stakeholder groups

• Internal link with other WA departments

 

 

During events, Remote Support & Team Coordination:

 

• Remote support to the team present at events: serve as the primary remote point of contact for the on-site team for any unexpected issues.

• Occasional travel might be requested.

 

 

Post-Event & Reporting

 

• Coordinate company event debrief and action points

• Evaluation: Collate relevant post-event surveys and submit final reports with findings, feedback, and recommendations for future events

 

 

Governance / Commissions

 

• Support with cross commission projects Director support

• Prepare the supporting documentation for the Competition Commission meetings including presentations.

 

 

Director support

 

• Manage department calendar and deadlines for Director.

• Keep minutes for meetings as requested

• Draft letters & e-mails, presentations when needed.

• Manage issues and projects with creativity and solution-oriented approach. Careful planning and widespread consideration are required.

Profil

 

 

Hard Skills, Education, Experience, Languages & IT:

 

Experience (minimum 3 years) in Sports Management with similar positions.

Bachelor’s degree in sports management or related areas (minimum).

Excellent project management skills: The ability to effectively plan, organize, coordinate, and oversee projects from initiation to completion, ensuring objectives are achieved on time, within scope, and within budget.

Proven organisation skills, especially in sport events: Demonstrated ability to manage logistics, resources, schedules, and operational activities efficiently, particularly in the planning and delivery of sporting events and competitions.

Ability to cope with multiple tasks and to work tight schedules: The capacity to prioritize workloads, manage several responsibilities simultaneously, and consistently deliver high-quality results within demanding deadlines.

Strong communication skills and presentation skills: The ability to convey information clearly, confidently, and effectively, both verbally and in writing, while engaging and influencing diverse audiences through impactful presentations.

Flexibility and willingness to travel: The readiness to adapt to changing circumstances, work requirements, and environments, including frequent travel to support organizational objectives and operational needs.

Efficiency and the ability to analyse current work methods and propose better processes for continuous improvement: The ability to assess existing workflows, identify inefficiencies, and implement practical improvements that enhance productivity, quality, and overall organizational performance through a continuous improvement mindset.

Excellent verbal and written communication skills in English (C1 to C2) and preferably French. Other languages considered an asset.

Good knowledge of computer software, IA and collaborative tools (Microsoft Office, Teams, AI Copilot, etc.).
